Event terms and conditions

By submiting a booking form or registering online, you/your organisation are agreeing to, and will comply with, Inclusion’s payment terms and conditions.

  • Completion of a online or paper registration form does not guarantee a place at the event or constitute a confirmed booking.
  • We will accept cancellations by writing, fax or email (but not by phone) up to ten working days before the event, unless otherwise stated (please see below for specific dates) but will charge a £70+VAT administration fee.
  • After the specified event cancellation date, we cannot make any refunds. Outstanding invoices will be liable for payment in full.
  • To amend or change a booking please write, fax or email the change. Changes to your booking cannot be made over the telephone.
  • Events bookings made after the specified cancellation date are non-refundable.
  • Shared places are not permitted.
  • Places are allocated on a first come first served basis.

A confirmation letter and joining details will be issued prior to the event. If you have not received confirmation of your booking within 48 hours of submitting your registration form, please contact the events department on 020 7582 7221.

The booking form constitutes a legally binding agreement. In the event of any situation that prevents a delegate’s attendance, for example transport strikes, adverse weather conditions, acts of God, terrorist attack or personal health, Inclusion will not be held responsible and will not issue refunds.

Sponsorship and exhibition terms and conditions

By completing the sponsorship or exhibition booking form, you/your organisation are agreeing to comply with Inclusion’s payment terms and conditions.

  • We will accept cancellations by writing fax or email (but not by phone) before the sponsorship agreement is signed.
  • If cancellation takes place after signing of the agreement, Inclusion will try and sell the item of sponsorship. If the item is re-sold, Inclusion will refund the sponsorship fee minus any cost incurred. If no sale is secured four weeks prior to the event date, the full sponsorship fee must be paid.

 Exhibition 

  • Hosting an exhibition stand does not entitle you to a free delegate place. If you wish to book onto the event you will need to follow the instructions within the event brochure and return them with your fee in the normal way.
  • By completing a booking form, you/your organisation are agreeing to, and will comply with, Inclusion’s payment terms and conditions.
  • We will accept cancellations by writing, fax or email (but not by phone) up to two weeks (see below for specific dates) but will charge a fee of 50% of the cost of the stand. After the specified cancellation date, refund will not be made.
  • Outstanding invoices will be liable for payment in full.
  • Inclusion is happy to accept exhibitor replacements. You can write, fax or email to inform us of these changes.  Changes to your booking cannot be made over the telephone.

You are entitled to bring two members of staff to service your stand. Any additional staff must be registered to attend at the chargeable exhibitor rate.  In order to do this, please complete and return the booking form. Exhibitors are not entitled to attend event programme sessions such as plenaries  and breakout sessions. An exhibitor pass will entitle your party to all catering and refreshments served within the exhibition area .

An exhibitor listing will be publicised in the final event programme. You must supply the required information by the deadline. Inclusion is not able to assist with marketing or promotion of your stand in addition to this.

You will be responsible for the cost of the following:

  • The fee for the stand space
  • The fee for any additional staff (over and above the two permitted to man your stand) 
  • Any additional items ordered by you at the venue or through Inclusion or other third party organisations.
